03 How we work

From RFP to fee proposal in five business days.

Procurement deadlines don't wait. Every request gets a named project manager on day one and a scoped proposal by day five — or we'll tell you on day one why we're not the right fit.

  1. D0

    Day 0

    You send the brief

RFP documents, drawings, photos or just a description. Partial information is fine.

  2. D1

    Day 1

    A P.Eng. calls you

Acknowledgement, conflict check and a named PM. Clarifying questions come in one batch, not a drip.

  3. D2

    Day 2–3

    Scope & site walk

Scoping call or site visit within 150 km of either office, at no charge for proposals over $15k.

  4. D5

    Day 5

    Fee proposal issued

Fixed fee by phase, schedule, assumptions, exclusions and the team you'll actually get.

  5. →

    Award

    Kick-off in a week

Signed agreement, kick-off meeting and a document register shared with your team.

What to send for the fastest proposal

The more we see, the tighter the fee.

  • RFP / terms of reference, or a one-paragraph description
  • Existing drawings, survey or geotechnical report, if any
  • Site location and access constraints (live plant, occupied building)
  • Target milestones: IFC, tender, construction start
  • Procurement route and evaluation criteria
Fee structures we offer

Priced the way you procure.

StructureBest for
Fixed fee by phaseDefined scopes: new builds, site servicing, assessments
Time & materials, cappedInvestigations and brownfield work with unknowns

04 Request a proposal

Send us the RFP. We'll send back a fee.

Two routes in: owners and developers request a proposal, contractors send a bid invitation. Both go straight to our proposals desk and a discipline lead — not a generic inbox.

A. About you

You are the…

B. The project

Disciplines needed (select all that apply)

C. Schedule & budget

Estimated construction budget

D. Documents
Attach RFP, drawings or photosPDF, DWG, DXF, IFC, JPG, ZIP · up to 250 MB · no files selected

Documents are held in confidence and deleted after 12 months if no work proceeds. Happy to sign your NDA first.

Thanks — this is a show home, the form isn't live. On a real Kestrel Ridge site, this request would land with the proposals desk and a P.Eng. would call within one business day.

05 Quality & safety

Prequalified before you ask.

Owners' contractor-management portals, municipal vendor lists and GC prequalification packages — we keep the paperwork current so your procurement team doesn't wait on us.

  1. QA-1

    Two-signature rule

Every stamped deliverable is checked by a second professional engineer who didn't design it. Check sets are retained for the life of the project.

  2. QA-2

    Design basis memo up front

Codes, loads, materials and assumptions are agreed in writing at kick-off, so there are no surprises at 90% review.

  3. QA-3

    Field-level hazard assessments

Our people complete an FLHA before every site visit and follow your site orientation and permit-to-work system without exception.

  4. QA-4

    Lessons-learned register

RFIs, change orders and field issues are logged and reviewed quarterly, and feed directly back into our standard details.

  5. QA-5

    Records you can audit

Field review reports issued within 48 hours, with photographs, deficiencies and close-out status in one register.

06 Leadership

The engineers who sign your drawings.

Principals stay on projects. The person who scopes your proposal is the person who reviews your design — and picks up the phone during construction.

08 FAQ

Before you send the RFP.

Questions procurement teams and estimators ask us most often.

Is the five-day fee proposal really guaranteed?

Yes, for scopes under $500k in engineering fees once we have your documents. Larger or multi-phase pursuits get a confirmed submission date on day one, usually within ten business days.

Do you work outside Calgary and Edmonton?

Across Alberta, plus northeast B.C. and western Saskatchewan. Site visits beyond 150 km are quoted at cost, and we schedule them to coincide with other field work where we can.

Can you respond to a public RFP through a bid portal?

Yes. Send the portal link or the document number through the form and we'll register, track addenda and submit through the portal ourselves.

Will you act as engineer of record for a design-build GC?

Regularly. We carry the professional liability for our design, provide stamped drawings and Schedule letters of assurance, and price to your bid closing date.

What if we only have a rough idea of the project?

That's common. Send what you have and choose "Budget pricing only" under procurement. We'll return an order-of-magnitude fee and a list of what's needed to firm it up.

How do you handle confidential drawings?

Uploads are stored in a Canadian data centre with access limited to the proposal team. We'll sign your NDA before you send anything and delete files after 12 months if no work proceeds.
